Tools That Keep Our Digital Marketing Team (and Projects) on Track

We asked our digital marketing & PM teams which tools they are using daily & which ones have changed how they work. Here’s what made the list (plus why).

Marketing moves fast—and so do we.

That kind of momentum doesn’t happen by accident. It’s driven by the tools we choose to support our work.

For one, a carefully curated toolbox of platforms and apps. Whether it’s planning out a content calendar, tracking SEO performance, or syncing across internal and client teams, these tools aren’t just helpful—they’re essential.

So we asked our digital marketing and project management teams: What platforms do you use every day? What do you love about them? And what tools surprised you with how much value they added?

Here’s what they had to say.

Everyday Essentials: What We Can’t Work Without

ChatGPT (and GenAI tools like Perplexity)

From drafting blog outlines to exploring SEO strategies or gut-checking a marketing trend, ChatGPT has become a go-to for many on our team. It’s not just about speed—it’s about having a creative, research-savvy partner at your fingertips. Several team members also noted using prompts to steer the tone and limit what they don’t want (a sneaky trick that works wonders).

HeyOrca

Our social media team swears by HeyOrca for content planning, collaboration, and scheduling. It bridges the gap between the creative and the client, making reviews and edits seamless.

Screaming Frog

For SEO deep dives, this tool is indispensable. Whether we’re crawling a site pre-launch or diagnosing indexing issues, Screaming Frog gives us the kind of detailed, flexible data that turns questions into actions.

Ninjacat

Reporting doesn’t have to be painful. Ninjacat pulls in analytics from all corners—Google Ads, Meta, LinkedIn—and compiles them into clean, customized dashboards that help us show ROI with clarity and confidence.

Basecamp & Kantata

Project management lives here. Basecamp helps with daily communication and organizing feedback, while Kantata keeps our delivery timelines and resource allocations visible and on track. Together, they create alignment between our marketing and PM teams.

Fathom Notetaker

Still relatively new to our toolbox, Fathom is already streamlining how we capture client feedback during meetings. It records, transcribes, and highlights key moments so we can focus on the conversation and revisit the details later.

Features We Think You Should Know About

  • Prompt Precision in ChatGPT: Some of us customize ChatGPT prompts by explicitly stating what not to include. This yields tighter, more relevant responses.
  • HeyOrca’s Approvals Workflow: Built-in approval steps keep creative moving forward without endless email chains.
  • ChatGPT’s Deep Research Plugin: A lesser-known feature that pulls high-quality reference links directly into your chat.

From Skepticism to Superpower

Even the most digitally curious among us had our doubts about some tools, until we used them. ChatGPT in particular had a few raised eyebrows at first. Could it really help with strategic marketing? As it turns out: yes. It’s now one of the most used platforms on our team, and not just for writing, it’s helping with analysis, research, ideation, and more.

And a surprising PM sleeper hit? Microsoft SharePoint. It turns out, when customized properly, it’s a great tool for document management—especially in a space where you can get to V5 of a deliverable!

Where Stack Meets Strategy

The tools we use every day here at Liquid shape how we work and what we can deliver. For us, the right mix of tools for research, reporting, brainstorming, drafting, and more not only improves workflows but also opens space for creativity, strategy, and growth.

If you're assembling your own digital marketing tech stack, consider starting not with what’s trending, but with what solves real problems. And don’t be afraid to test the tools you’re unsure about, you might be surprised by what becomes your next MVP.
